Displaying Your Records Retention Schedule

All users who log in to Versatile Corporate-Wide Access can display the retention schedule for their organization. Users with appropriate access rights can select whether they want to view only active schedule titles, or both inactive and active titles.

To display your retention schedule:

1.       From the Versatile Corporate-Wide Access main menu, select Schedules.

The Schedules page is displayed.

At the left side of this page, the Company/Function list shows the companies and business functions that are set up in Versatile Retention.

The - GLOBAL - option is used for schedule titles that may be used across companies.

Schedule titles may be added under a company, a function, or the - GLOBAL - category.

Click the right arrow icon next to a company to expand the company and list its functions. To expand all company entries, click Expand All, or to collapse all company entries, click Collapse All.

Administrative users may enter notes for a listed function in the Versatile Retention client. This content will appear when floating a cursor over the Function Name in the left navigation pane:

2.      Use the By Country drop-down to filter the schedules that display based on the country they’ve been assigned. For example, if you select Germany from the drop-down, only schedules linked to Germany will display. You can also generate reports based on the country.
3.      The Show Only Active Titles check box is used to indicate whether you want to see only active schedule titles, or inactive titles as well (see Displaying Only Active Schedule Titles). This option is not available for users who are only allowed access to active titles.
4.      The Show Only Favorites check box is used to exclude schedule titles that are not marked as favorites from the display. See Displaying Schedule Title Details for details on marking a schedule title as a favorite.
5.      To view the schedule titles for a company or function, click the name in the Company/Function list. To view the global schedule titles, select the - GLOBAL - option.  The schedule titles added under the selected organizational item are displayed in the right pane.

·      A red flag icon to the right of a schedule title indicates one or more review flags are attached to the schedule title (see Displaying Review Flags).

·      A right arrow icon next to a schedule title indicates there are child schedules associated with the schedule. Click the arrow icon to expand the schedule and display any child items.

·      A yellow star displays to the right of items that have been marked as a favorite.

6.      To search for schedule titles, click the Search icon (see Searching Schedules).
7.      To generate a report, click the Reports icon in the upper right corner (see Printing Schedule Reports).
